The workflow begins by connecting to data rooms or document repositories such as SharePoint, OneDrive, or a document management system (DMS), with additional connectors in development. Documents are imported in a read-only manner and pass through an initial normalization step that includes OCR, de-duplication, and type detection, with any issues flagged before review. Users then apply a customizable playbook, tailored per document type and matter, which specifies preferred positions, fallback options, and escalation triggers for each clause. The playbook assistant allows rules to be input in plain English, converting them into versioned, graded criteria.

Cogveo extracts every clause verbatim from the contracts, never paraphrasing or rewriting, and links each entry back to its original page and paragraph. Clauses are organized in a review grid, graded against the playbook using a color-coded system (Green, Yellow, Red, Black), with filters to highlight items needing human attention. For each clause, the platform also surfaces the three most similar clauses from the firm's own library of signed deals, providing precedent-backed grades as supporting evidence. Every extraction, grade, override, and export is permanently recorded, creating a tamper-proof audit trail for future reference or regulatory review.

The platform supports collaborative review, allowing clients or co-counsel to be invited as guests to view findings, add comments, and participate in discussion threads that remain part of the matter record. Deliverables can be generated from the graded review grid, such as due diligence reports, case management filings, or regulator-ready summaries, with the first draft produced by Cogveo and finalized by a lawyer.
